How to...

Here you can find a quick startup guide to set up your shop. Please follow the steps below.

To set up the “Book Now” action button and start receiving bookings from your Facebook page, please do the following:

Step 1: Go to your “Settings” tab of the app and select “Account” on the left column and “Book Now” on the right column.

Step 2: To automatically set up the "Book Now" button, all you have to do is to click the button "Automatic Setup".

Step 3: If there is a problem you can also manually set up the "Book Now" button. Please click on the link and follow the instructions you will see there.

To set up the Book'n'Bloom button on your Facebook page, please do the following:

Step 1: From your list of tabs on your Facebook page click on the tab “Manage tabs”.

Step 2: You will be directed to the Settings of your Facebook page. Drag and drop with your mouse the tab “Book'n'Bloom” as high as possible.

Step 3: Go back to your page. The Book'n'Bloom tab will appear higher in the list of tabs. 

Now your clients will be able to book online!

To set up the points for customer actions, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Points” from the column on your left.

Step 2: Click on each field and select the points you wish.

Step 3: You can also add and enable birthday points, as well as spending points in your shop.

Step 4: Don't forget to click “Save” to save your changes.

To edit the content and icons of the Facebook posts, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Sharing options” from the column on your left.

Step 2: Click on the image or the images you want to select.

Step 3: Click on the proposed text or texts or write a text of your preference. 

Step 4: Don't forget to click “Save” to save your changes.

To create a voucher, please do the following:

Step 1: Go to the “Promotions” tab of the app and select “Vouchers” from the column on your left.

Step 2: Click on the “ + Create a voucher” button.

Step 3: A new empty voucher will be added to the list below. You can then edit all details (discount percentage, service, points needed for the voucher).

Step 4:  By clicking on the bullet in front you can publish the voucher. Published vouchers are marked in green. Don't forget to click “Save” to save your changes.

To enable notifications, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Notifications” from the column on your left.

Steps 2 and 3: Click on each bullet to enable notifications about new bookings, new PointsClub members, as well as for SMS appointment reminders to your clients.

Step 4: Don't forget to click “Save” to save your changes.

To set another admin in the shop, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Employees” from the column on the left. Find the employee you want and click on his name.

Step 2:  Click on the field “Role” in the “Info” tab of the employee's profile and select the option “Administrator”.

Step 3: Don't forget to click “Save” to save your changes.

To add a new service, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Services” from the column on the left. Click the button “+ Add” and a new service will be created.

Step 2: Add all necessary infos (name, price, duration, service provider).

Step 3:  You can also add some optional infos (category, priority, description).

Step 4: Don't forget to click “Save” to save the changes.

To add an employee, please do the following:

Step 1: Go to the “Settings” tab of the app, select “Employees” from the column on the left, and click on the button “+ Add Employee”.

Step 2: A pop-up window will open. If you are friends on Facebook you can add the employee from your friends' list. If not, a new employee profile will be created.

Step 3: Add all details in the tab “Info” and choose the color for this employee.

Step 4: Don't forget to click “Save” to save your changes.

To set up working hours for your employees, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Employees” from the colum on the left. Find the employee you want and click on his name.

Step 2: Click on the “Schedule” tab from the employee's profile, click on the bullet to enable/disable a working day.

Step 3: Click on the hours to set up the “from” and “to” fields.

Step 4: Don't forget to click “Save” to save your changes.

To create a voucher, please do the following:

Step 1: Go to the “Promotions” tab of the app and select “Vouchers” from the column on your left.

Step 2: Click on the “ + Create a voucher” button.

Q&A

To add a booking you have to select the “Calendar” tab and you have 2 options. The quick option is to click directly within the preferred timeslot (hence, name of employee and date/time will be already selected). Otherwise you can do the following:

Step 1: Click the “+” button on the top right of the app and select “Add new appointment”.

Step 2: In the new column on the left of the screen you insert the client's name. If it is a new client, you can also automatically add him to your clients book.

Step 3: Select the preferred service, employee, date and time for the appointment. If the client wants another service, you click on the “+ Add a service” and follow the same procedure. 

Step 4: You can also add some notes on this appointment by clicking on “Add appointment notes”. Click “Save” to save the new booking.

To edit an existing booking, please do the following:

Step 1: Click on the booking in the Calendar and then on “Edit”. From the column on the left of the screen you can edit the fields you want (e.g. service, employee, date, time etc.) and then you click “Save” to save the new changes.

Step 2: A pop-up will give you the possibility to inform the client per E-mail about the new change. You can check the option you want and click “Send” to inform the client or “Cancel”.

If you want to change only the time or employee but for the same day, you can just drag & drop the booking using your mouse.

To delete an existing booking, please do the following:

Step 1: Click on the booking in the Calendar and then on “Delete”.

Step 2: A pop-up will give you the possibility to inform the client about it (either per email or SMS). You can check the option you want and click “Delete” to inform the client or “Cancel”.

To change the status of an existing booking, please do the following:

Step 1: Click on the booking in the Calendar and then on “+” button on the top right corner.

Step 2: Choose between “Pending”, “Completed” (i.e. the booking has been completed and the client will now get the points), “No-show” (the client did not show up and he will not get the points), and “Cancelled” (the booking has been cancelled and the client will not get the points) and click again within the calendar.

However, if you do not do anything, 24 hours after the client's visit the status will automatically change to “Completed” and your client will receive the points for the completion of this booking.

To block a timeslot, you have to do the following:

Step 1: Click the “+” button on the top right of the app and select “Add new slot blocker”.

Step 2: A pop-up will appear and you can choose the employee, the date and the time of unavailability. Click “Save” to save the new blocked timeslot.

Step 3: It will appear on your calendar as “closed”.

 

To edit or delete a blocked timeslot, please do the following:

Step 1: Click on the blocked timeslot in the Calendar and then choose “Edit” or “Delete”.

Step 2: If you click on “Edit” then you can change the fields of employee, date, time, and then you have to click “Save”. If you click on “Delete” the blocked timeslot with be deleted and the employee will again be available.

To change your calendar overview, please do the following:

Step 1: Go to your Calendar and choose the calendar overview you wish by clicking the drop-down list “Daily calendar” and choosing between “Daily calendar”, “3-Days Calendar”, "Weekly Calendar", and “Availability”.

Step 2: By clicking on the white arrow below the date you can select another date from the 3-months calendar that opens.

Step 3: To see the schedule of one specific employee, you can select him/her from the top right from the drop-down menu "All employess".

To add a new client, please do the following:

Step 1: Click the button “Add client” and a new client profile will be created.

Steps 2 and 3: Add all details (phone, e-mail, birthday etc.) and don't forget to click “Save”. 

To quickly find a client in the client list click on the field “Search” and start typing the name. The app will filter all clients alphabetically.

To delete a client, please do the following:

Step 1: Go to the client's profile and click on the grid icon.

Step 2: Select “Delete”.

Step 3: In the confirmation pop-up window click “Delete” to delete the client or “Cancel”.

To block a client, please do the following:

Step 1: Go to the client's profile and click on the grid icon.

Step 2: Select “Block”.

Step 3: In the confirmation pop-up window click “Block” to block the client or “Cancel”.

Note: When a client is blocked, his profile appears marked in grey. However, you can unblock him whenever you want by clicking again on the grid icon and selecting “Unblock”. In the confirmation pop-up window please click “Unblock” to unblock the client or “Cancel”.

To merge 2 clients (a social client and a non-social client), please do the following:

Step 1: Go to the profile of the first client and click on the grid icon.

Step 2: Select “Merge”.

Step 3: Select from the list the client you want to merge with this profile and click “Merge” on the bottom right of the app.

Step 4: In the confirmation pop-up window click “Merge” or “Cancel”.

Please note that by merging 2 clients the app will keep the contact details of the non-social profile, the photo of the social profile and the activity history of the social profile.

To edit a client's profile, please do the following:

Step 1: Search for the client's name in the list and select it.

Step 2: Select the tab “Info”. Click on any field you want and edit the information. 

Step 3: Don't forget to click “Save”.

To enable SMS and/or e-mail reminder for a client, please do the following:

Step 1: Go to the client's profile and select the tab 'Notifications”. 

Step 2: Click with your mouse on the two bullets to enable the notifications and then click “Save”.

Note: The bullets are green when the notifications are enabled and grey when the notifications are disabled.

To invite a client to join PointsClub, please do the following:

Step 1: Go to the client's profile and click the green button “Invite”.

Step 2: A pop-up window will open and you can choose between E-mail or a free SMS. Then click “Invite”.

Please note that you will not be able to send an invitation if you have not added a mobile phone number or an e-mail address.

To see a client's history and points, please do the following:

Step 1: Go to the client's profile and click on the tab “PointsClub” to see the vouchers of the client and his points.

Step 2: Click on the tab “Activity” to see the upcoming bookings (with details) as well as the history (past bookings).

To create a voucher, please do the following:

To accept last minute bookings, please do the following:

Step 3: Don't forget to click “Save” to save your changes.

To hide past appointments, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Calendar” from the column on your left.

Step 2: Click on the bullet next to “Hide past appointments” to enable this option.

Step 3: Don't forget to click “Save” to save your changes.

To add a new service, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Services” from the column on the left. Click the button “+ Add” and a new service will be created.

Step 2: Add all necessary infos (name, price, duration, service provider).

Step 3:  You can also add some optional infos (category, priority, description).

Step 4: Don't forget to click “Save” to save the changes.

To add a break for an employee, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Employees” from the column on the left. Find the employee you want and click on his name.

Step 2: Click on the tab “Break” from the employee's profile and click the button “+ Add break”.

Step 3: Select the “from” and “to” fields to set the duration of the break.

Step 4: Don't forget to click “Save” to save your changes.

To freeze your account, please do the following:

Step 1: Go to our website, click on "Account", and log in to access your customer panels.

Step 2: Click on “Billing” from the column on your left.

Step 3: Go further down and click the green button “Freeze subscription”.

Step 4: A pop-up window will open and you have to type your password and the word “freeze” and click the button “Freeze”.

To update your credit card, please do the following:

Step 1: Go to our website, click on “Account”, and log in to access your customer panels.

Step 2: Click on “Billing” from the column on your left.

Step 3: Click on the green button “Update credit card” on the top right.

Step 4: A pop-up window will open and you can update your credit card details. Then click the button “Save changes”.

To reinstall the app on your Facebook page, please do the following:

Step 1: Go to our website, click on “Account” and log in to access your customer panels.

Step 2: Click on “Facebook Settings” from the column on your left.

Step 3: Click the button “Reinstall”.

To move the app to another Facebook page,  please do the following:

Step 1: Go to our website, click on “Account” and log in to access your customer panels.

Step 2: Click on “Facebook Settings” from the column on your left.

Step 3: Click the button “Show pages” at the bottom of the screen. All your pages will appear and you can select the one you want by clicking "Move" and "Confirm".

To set up the “Book Now” action button and start receiving bookings from your Facebook page, please do the following:

Step 1: Go to your “Settings” tab of the app and select “Account” on the left column and “Book Now” on the right column.

Step 2: To automatically set up the "Book Now" button, all you have to do is to click the button "Automatic Setup".

Step 3: If there is a problem you can also manually set up the "Book Now" button. Please click on the link and follow the instructions you will see there.

To set up the Book'n'Bloom button on your Facebook page, please do the following:

Step 1: From your list of tabs on your Facebook page click on the tab “Manage tabs”.

If a service is disabled it is marked in grey.To enable it again, please do the following:

Step 1: Go to the “Settings” tab of the app, select “Services” from the column on the left, and click on the service you want to enable.

Steps 2 and 3: Click the bullet next to “Enable Service” on the top right of the service sheet. The bullet will be marked in green.

Step 4: Don't forget to click “Save” to save your changes.

To report a problem, please do the following:

Step 1: Click the link “Report a Problem” on the bottom left of the application.

Step 2: In the next page check the option “admin view” or “client view” and write down as much information as possible regarding the problem you are facing.

Step 3: Type the code you will see in the image and click the button “Submit” on the bottom right.

To change the language for the SMS and e-mails that you and your clients will receive, as well as the language of the mobile app, please do the following:

Βήμα 1: Go to the "Settings" tab of the app and select "Account" on the left column and "Business" on the right column.

Βήματα 2 και 3: Click on the language field and select the language you want.

Βήμα 4: Don't forget to click “Save” to save your changes.

To change the address of your business within the application, please do the folllowing:

Step 1: Go to the "Settings" tab of the app and select "Account" on the left column and "Business" on the right column.

Step 2: Click within the fields you see (Street, Number, Postal Code) and change your address.

Step 3: Don't forget to click "Save" to save your changes.

To change your calendar overview, please do the following:

Step 2: Click on the “Schedule” tab from the employee's profile, click on the bullet to enable/disable a working day.

Step 3: Click on the hours to set up the “from” and “to” fields.

Step 4: Don't forget to click “Save” to save your changes.

To add a break for an employee, please do the following:

Step 1: Go to the “Settings” tab of the app and select “Employees” from the column on the left. Find the employee you want and click on his name.

Step 2: Click on the tab “Break” from the employee's profile and click the button “+ Add break”.

Step 3: Select the “from” and “to” fields to set the duration of the break.

Step 4: Don't forget to click “Save” to save your changes.

To set up the “Book Now” action button and start receiving bookings from your Facebook page, please do the following:

Step 1: Go to your “Settings” tab of the app and select “Account” on the left column and “Book Now” on the right column.

Step 2: To automatically set up the "Book Now" button, all you have to do is to click the button "Automatic Setup".

Step 3: If there is a problem you can also manually set up the "Book Now" button. Please click on the link and follow the instructions you will see there.

To set up the Book'n'Bloom button on your Facebook page, please do the following:

Step 1: From your list of tabs on your Facebook page click on the tab “Manage tabs”.

Step 2: You will be directed to the Settings of your Facebook page. Drag and drop with your mouse the tab “Book'n'Bloom” as high as possible.

Step 3: Go back to your page. The Book'n'Bloom tab will appear higher in the list of tabs. 

Now your clients will be able to book online!

If a service is disabled it is marked in grey.To enable it again, please do the following:

Step 1: Go to the “Settings” tab of the app, select “Services” from the column on the left, and click on the service you want to enable.

Steps 2 and 3: Click the bullet next to “Enable Service” on the top right of the service sheet. The bullet will be marked in green.

Step 4: Don't forget to click “Save” to save your changes.

To change the language for the SMS and e-mails that you and your clients will receive, as well as the language of the mobile app, please do the following:

To change the address of your business within the application, please do the folllowing:

Step 3: Don't forget to click "Save" to save your changes.

To freeze your account, please do the following:

Step 1: Go to our website, click on "Account", and log in to access your customer panels.

Step 2: Click on “Billing” from the column on your left.

Step 3: Go further down and click the green button “Freeze subscription”.

Step 4: A pop-up window will open and you have to type your password and the word “freeze” and click the button “Freeze”.

To update your credit card, please do the following:

Step 1: Go to our website, click on “Account”, and log in to access your customer panels.

Step 2: Click on “Billing” from the column on your left.

Step 3: Click on the green button “Update credit card” on the top right.

Step 4: A pop-up window will open and you can update your credit card details. Then click the button “Save changes”.

To reinstall the app on your Facebook page, please do the following:

Step 1: Go to our website, click on “Account” and log in to access your customer panels.

Step 2: Click on “Facebook Settings” from the column on your left.

Step 3: Click the button “Reinstall”.

To move the app to another Facebook page,  please do the following:

Step 1: Go to our website, click on “Account” and log in to access your customer panels.

Step 2: Click on “Facebook Settings” from the column on your left.

Step 3: Click the button “Show pages” at the bottom of the screen. All your pages will appear and you can select the one you want by clicking "Move" and "Confirm".

To report a problem, please do the following:

Step 1: Click the link “Report a Problem” on the bottom left of the application.

Step 2: In the next page check the option “admin view” or “client view” and write down as much information as possible regarding the problem you are facing.

Step 3: Type the code you will see in the image and click the button “Submit” on the bottom right.
